An important message to Student and Non-Student Volunteers from the 2011 AFS Volunteer Coordinator
Work Assignments: Each volunteer has been assigned to one or more Conference Planning Committees. I have e-mailed each of you the tasks that I have assigned to you and asked that you confirm your assignment. If you have not yet responded, please do so now so that we will know we have the volunteers we need to perform all tasks that have been requested by the committee chairs. I have sent your name and contact information to each of the chairs of the committees that you will be assisting. The committee chairs will provide more information on what is expected of you. It is your responsibility to confirm your tasks and to carry them out.
During the conference, an updated list of volunteer activities and notices will be posted near the Registration Table and in the Conference Business Office, located in Room 400, which is adjacent to the Skybridge on the 4th level of the WSCC.

Orientation and Training Session: A volunteer training meeting will be held on Sunday, September 4th from 4:00 to 6:30 PM in the Metropolitan B room at the Sheraton Hotel. All volunteers are encouraged to attend the training session and the Sunday night Welcome Social, which starts at 6:30 PM in the Sheraton Grand Ballroom. If you are unable to attend the volunteer training meeting, please contact me or the chair of the committee to which you are assigned prior to the meeting.
Daily Briefings: Beginning on Monday, there will be daily volunteer briefings and updates in Room 400 of the Convention Center from 7:15 to 7:45 A.M. It would be good for you to attend these briefings on the day(s) you are scheduled to work. At these meetings, Mike and I will update and confirm work assignments, and be available to answer questions.
Time Sheets: All student and non-student volunteers are required to keep an accurate record of the time they have worked. You can download time sheet forms here. You will need to fill out and turn in one time sheet that details the time you spent working on assigned tasks. You must obtain a signature from the chair or member of the committee to which you are assigned before turning in your time sheet. You may submit your completed time sheet to your Committee Chair, the Business Office at (WSCC Room 400), or to me at any time following completion of your assigned work, but no later than 5:30 PM on Thursday, Sept. 8.
Student Compensation: Student volunteers who have completed their assigned work at the conference will be paid in cash at a rate of $10/hr when they turn in a completed and approved time sheet at the Business Office. Time sheets will need to be signed by a Committee chair or member in order to be considered valid. To minimize delays in payment, we strongly encourage student volunteers to complete their time sheets and seek compensation no later than 5:30 PM on Thursday, Sept. 8. I have told many of you that payment will be handled by check after the meeting. It will be much more efficient for us to pay you before the conference is over, so please try to accommodate this request.
Late Payment: If you are unable to turn in a time sheet or if you are a Student Volunteer and do not receive payment at the conference, you may mail your time sheet and a self-addressed envelope to:

Certificates of Appreciation: All volunteers who have worked at the conference will receive certificates of appreciation when they turn in their completed timesheet at the Business Office. Each certificate acknowledges the contribution of the individual by name, and is signed by AFS Executive Director Gus Rassam and the meeting co-chairs Cleve Steward and Larry Dominguez.
